Introduction
Measuring fridge temperatures, checking deliveries, testing the dishwasher: food safety checks happen in a kitchen every day, and when an inspector visits you want to be able to show they were done. With HACCP in Catermonkey you decide in the office which checks each location has and when they are due. A tablet in the kitchen shows what needs doing right now. Staff record their checks there without logging in, and everything goes into a logbook you can download as a PDF.
Where do I find it?
Go to Agenda, click Tools at the top right and choose the HACCP tile.
Step 1: Switch on HACCP and add a location
Open HACCP and click Switch on HACCP. Catermonkey then sets up templates, task groups and types of check for you, suited to the country your business is in.
Open the Locations tab and, under Add a location, choose the location where you want to keep track of checks, for example your kitchen. Click Add.
Step 2: Apply a template
Open the Checks card, choose a template (Catering kitchen or Restaurant) and click Apply. In one go you get a complete set of checks following your country's hygiene code, with times, standards and instructions.
Click Edit on a check to adjust it: the name, how often and on which days, the time window, the standard, the instructions for staff and what to do when a measurement falls outside the standard.
The template is a starting point. You decide which checks belong to a location. Use Add a check to create your own, Edit to change one and Remove this check to take one away, as often as you like. Whatever has already been recorded stays in the logbook.
Step 3: Set up the screen in the kitchen
On the location, open the Screen in the kitchen card and click Set up a screen. You get a link: open it on a tablet in the kitchen, or click Copy to send it to yourself.
Under Who works here, tick the staff members who can pick their name on this screen.
Treat the link like a key. Anyone with the link can record checks for that location. If a tablet goes missing, click New link: the old link stops working straight away.
Step 4: Working with the screen
The screen shows today's checks on a timeline, in the colour of their task group. The yellow line is now. A striped bar is overdue; a light bar with a tick has been recorded. Prefer a list? Tap List.
Tap a check. The first time, you choose your name and tap That's me: your name then goes on every check you record until the end of the day.
Step 5: Record a check
Enter the measurement or, for a checklist, answer yes or no for each item. Then choose one of the three buttons:
In order: everything has been checked and is within the standard.
Not in order: something isn't right. Under What happened, describe what was going on.
Not performed: the check wasn't done. Here too you fill in what happened.
If a measurement is outside the standard, the field turns red and you can't choose In order.
Made a mistake? After recording, a message with Correct appears at the bottom. Tap it, make your changes and choose again.
Step 6: View and download the logbook
In the office, the Logbook tab shows per location and per day what was planned and what was recorded. Click a check to record it afterwards, for example when someone did it on paper. You can then say when and by whom it was carried out.
For an inspection, open the Export the logbook card on the location, choose a period and click Download PDF. The PDF shows every planned check with what was recorded, including the checks nobody did.
Frequently asked questions
Why are there only a few checks on the screen today?
A check only appears on the days it is due. For businesses in the Netherlands, the templates follow the KHN hygiene code, which for many measurements asks for one recorded measurement per week. Those weekly checks are set to Monday by default. Want them on another day? Change On which days on the check.
Can I undo a recorded check?
A record is never deleted. Use Correct: the new record counts, and the original stays in the logbook so an inspector can see what was changed.
Can I record yesterday's check on the tablet?
No, on the tablet you only record today's checks. You can view other days there, though. To record a check afterwards, use the Logbook tab in the office.
Why does the tablet ask who is working again in the morning?
The name is cleared at the end of the working day, so today's work isn't recorded under the name of whoever was on shift yesterday. If someone takes over partway through, tap change at the top.
What happens if I apply a template twice?
Nothing is duplicated: checks that already come from that template are skipped. If there are checks with the same name from a different template, Catermonkey warns you first.
How long are records kept?
24 months. After that they are cleaned up automatically.
Does the screen also work on a phone?
Yes. On a narrow screen it starts with the list instead of the timeline.
