Introduction
At many events the drinks are billed on consumption: you send along a generous stock and settle afterwards on what was actually opened. With the consumption list you count that on location, on a phone or tablet, and process the count into the order with one click. The quantities on the order become what was really used, and so does what ends up on the invoice.
Where to find it
Open an order, click Lists and overviews at the top right and choose the Consumption tile. The same tile is in the Calendar under Lists and overviews.
The consumption list is included in every plan.
Step 1: Put a product on consumption billing
Open the product in Products and tick This product is billed on consumption under Categorisation. You will usually do this for bottles of wine, beer, soft drinks and anything else where you only know afterwards how much was used.
When you add such a product to an order, a small bottle appears next to the line. If you do not want to bill on consumption for this one order, click the bottle: the line turns grey and is left out. Another click switches it back on.
Packages count too. If a product on consumption billing is part of a package, such as a drinks arrangement, it appears on the list as well. The count lands on the product inside the package, so the package price follows what was counted.
Step 2: Create the list and share it with whoever counts
Open the order, click Lists and overviews and then the Consumption tile. Pick the team members who count on location; they receive an email with the link. Staff accounts can open this list as well. Then click Generate online list.
Prefer paper? Download PDF gives a counting sheet with the columns Sent and Counted per product.
Each order has one list. Open it again later and the earlier counts are still there.
Step 3: Count on location
The list shows a tile per product. Count a stack of empty bottles, set the number with − and + or type it, and click Add. Every addition appears on the Receipt with its time, and the total per product adds up. On a phone the tiles sit two to a row and the receipt is behind the cart button.
Done counting? Click Send consumption list and confirm with Yes. The receipt starts a new round empty, and the product shows what has already been sent. You can send more than once, for instance after the reception and again after dinner.
The list shows no prices. Whoever counts sees only the products and the numbers.
Step 4: Process the count into the order
In the office, a notice appears above Products on the order: A new consumption list is available. Process it into the products?
Yes sets the quantity of every counted product to the total that was counted. The line gets a blue dot until you save the products. Save, and the count is processed.
No dismisses the sent count. The order stays as it was.
Click the text of the notice to review the sent lines first. You can change a number or remove a line, and then choose Process into the products or Dismiss.
The quantity you sent along stays visible: hover over the bottle next to the line and you see Sent, with the difference from the count next to it.
Products nobody counted keep the quantity that was on the order.
Frequently asked questions
What happens when the list is sent twice?
The counts of all rounds are added together, and that total goes onto the order. A later round corrects the number; it does not stack.
I clicked Yes but have not saved yet. Have I lost anything?
No. The count is only marked as processed when you save the products. Leave the order without saving and the notice is simply there again next time.
Can I correct a count before processing it?
Yes. Click the text of the notice; you then see every sent line with who counted it and at what time. Change the number or remove the line, then process.
Do staff see prices on the list?
No. The consumption list shows product names and quantities only.
What if a product is no longer on the order?
A count for a product that was removed from the order is not processed. The other products are.
Does the count go onto the invoice automatically?
The count changes the quantities on the order. Create the invoice afterwards and the counted quantities are on it. An invoice you created earlier does not change by itself.
