Important advice for email delivery:
Before setting up your sender address, please note our current recommendations to ensure your emails are delivered reliably and do not end up in the spam folder:
SMTP (Recommended): We strongly recommend setting up your email via a direct connection or SMTP. This is the best and most reliable option. Depending on your email provider, you can use one of the following guides:
External mail servers: Using your own SMTP details(for most common email providers)
Google: Use your own SMTP details(specifically for Gmail / Google Workspace)
Microsoft (Outlook / Office 365): Setting up your email address in Catermonkey(specifically for Microsoft accounts)
SPF record (Not recommended): You can also verify Catermonkey as the sender via an SPF record in your DNS settings. However, we no longer recommend this method, as experience has shown that emails verified solely via SPF often end up in recipients’ spam folders.
(If you still want to or need to use the SPF method, please follow the instructions below)
Suppose your business email address is ‘info@jouwbedrijf.com’. When Catermonkey sends a quote to your customer, it can set ‘info@jouwbedrijf.com’ as the sender.
To prevent emails from ending up in the spam folder, the domain (in this case, bedrijf.nl) must ‘grant access’ to our email system so that Catermonkey can send emails with your email address as the sender.
How do you add an SPF record?
Log in to your domain provider’s website and go to the page where you can change your DNS settings. The process varies depending on your provider. The domain provider is the company with which you registered the domain (in this example, bedrijf.nl).
Add a new TXT record with the following settings:
Type: TXT
Name: @ (or your domain name)
TTL: Leave this at the default value.
Value:
“v=spf1 include:mail.catermonkey.com ~all”
Save the changes.
Please note: is there already an SPF record? If so, do not add a new one, but edit the existing one. Then, immediately after ‘v=spf1’, add the following:
include:mail.catermonkey.com
Please note! The code starts and ends with a space so that the inserted code does not overlap with the existing code.
It usually takes a few hours for these changes to take effect!
How do you check that the settings are correct?
In your Catermonkey account, go to Quotes, Email and Brands, and click on Email settings. Tick the SPF record box here:
If there’s now a green icon next to your email address below, you’re all sorted; if there’s a red icon, you’ll need to check this again.
You can also check whether the DNS settings are correct via this website.
Enter your host domain (e.g. yourcompany.com) and set the type to TXT.
Then click on ‘Resolve’ and check under ‘Answer’ to see if the text has been added.
