Financial statuses

You can add a financial status to an order, giving you a better administrative overview of your calendar.

For example, when a first, second or remaining invoice has been sent. Or if your administrative colleague needs to create an invoice, you can set the assignment to ‘To be invoiced’.

How do you set a financial status?

You can set a financial status for an order.

  • Go to the Calendar.

  • Click on an order.

  • Click on the box at the top right of the order details to edit it.

  • Under “Financial status”, click on “Select” to choose a different status.

  • Then save the changes.


How do you create new financial statuses?

There are two ways to do this:

  1. Via the assignment

    • Go to the order
    • Click on the box to edit in the top right-hand corner of the order details
    • Under “Financial status”, click on “Select”.
    • Then click on “+ Add financial status”.
    • In the pop-up on the right, click on the “+” to add a new status.
    • You can also give the status its own colour.
    • You can also change the colour/name of a current status.

  2. Via Settings

    • Click on Settings (white cogwheel) at the bottom left

    • Under ‘General settings’, scroll down to ‘Financial statuses’

    • Click on the + sign to add a new status

    • You can also give the status its own colour.

    • You can also change the colour/name of a current status.


Filtering by financial statuses in the calendar

You can also filter by financial statuses in the calendar.

  • Go to the Calendar

  • Click on “Search orders/quotes” in the top right-hand corner

  • Open “More search options”

  • Here, under “Status”, you can filter by Financial statuses


Linking financial statuses to email templates

You can link financial statuses to email templates. Suppose you have an email template for different deposit dates, you can now link the correct financial status to it.

  • Click on settings (white cogwheel) at the bottom left.

  • Click on “Quotation, email and brands” in the menu on the left.

  • Go to “Customise email templates”.

  • Select the email template to which you want to link a financial status.

  • Select the correct status under “Change financial status after sending to:”.


Disabling financial statuses

If you do not want to work with financial statuses, you can disable them. Here's how:

  • Click on settings (white cogwheel) at the bottom left

  • Under “General settings”, you have the option to work with advanced statuses (i.e. financial statuses) or not (simple).

  • Under “Status display mode”, select the option that applies.
