Catermonkey makes it easy to automate your purchasing. This saves time when calculating your purchases and ensures that you order in a more targeted manner. What's more, the ingredients are automatically calculated per supplier, making your purchasing process more efficient and transparent.
Where can you find Purchasing?
You can find your purchases under the 'Purchases' tab. This can be found on the left-hand side of the menu.
How do you add Purchasing products?
Importing an Excel file
You can easily import your purchasing products (ingredients) from an Excel file.
Tip: Use the format provided as an attachment in this article.
In the top right corner, click on 'Import/Export & Tools' and then click on 'Import Ingredient Batch'.
Once you have uploaded the Excel file, link the columns to the correct fields in Catermonkey. Click on --Ignore column-- to select from the dropdown menu.
Once all columns are linked, click on "Start importing".
Manually adding Purchases
You can add a product (ingredient) manually by clicking on "+ New ingredient".
Filling in purchase details
There are several fields you can fill in for an ingredient.
Name and item number
Here you can enter the name, item number, supplier and, if necessary, a description:
Packaging and units
Here you can enter the units for the ingredient. I will explain what everything means:
Cost price per (individual) package = How much does one package cost?
Number per package = What is the gross weight of one package?
Packaging unit = What is the packaging unit
Number of kg after production = What is the net weight of one package
Recipe unit = Which unit do you use in your recipe?
Number per large package = How many are there per large package
Type of bulk packaging = What is the bulk packaging
Example:
A pallet of milk. There are 30 one-litre cartons on a pallet.
Name = Milk
Cost price per (individual) package = £2.50 (per carton)
Number per package = 1
Packaging unit = litre
Number of kilograms after production = N/A (not a net weight)
Recipe unit = ml
Number per bulk package = 30 (packs)
Type of bulk packaging = Pallet
Add ingredients to products in the range
You can then link ingredients and calculate purchasing costs by adding them from Purchasing to the products in the Assortment.
Go to the Assortment and search for a product. Scroll to link ingredients and calculate cost price:
Find the ingredients for the product here and add them.
Enter the quantity of the ingredient. Do this per portion or per person:
(e.g. for a brownie, you need 200 grams of sugar):
This requires some calculation and input, but will ultimately save you a lot of time!
Generate and share a shopping list
By adding your Purchases to the Assortment, you can now generate a shopping list in one go to see how much you need to buy for the coming week or per order, for example. You can also email the purchases directly to your supplier.
You can generate the list under Lists and overviews:
Indicate how you want to view the shopping list:
Share the list with colleagues if necessary, and generate it:
Do you prefer to work with Excel or PDF? You can also download these formats:
Email your purchase list to the supplier
Once you have generated your shopping list, you can indicate how much you need in the online list and email it to an email address that you can set up with the supplier. Here's how:
1. Add the email address to which you send your orders to the supplier.
Go to Settings ( gear icon) > Scroll to Suppliers > Add the email address.
2. Thengo to an order in the order (or select multiple orders in the calendar) and generate the shopping list.
3. In the online list, you can indicate how many packages you want to order per supplier. Increase or decrease this number.
4. Then enter the desired delivery date and click on 'Submit order to [supplier name]:
5. A draft email will then be created from an email template that you can customise yourself:
6. Click on send, and your order will be sent to the specified e-mail address.
7. The order will appear as follows to the supplier:
Download recipes
You can also download recipes. Very handy for in the kitchen. The recipe list shows you exactly how much needs to be made, and if you have set a recipe, it also shows you how to prepare it. You can also find this list under Lists and overviews:
