List filters, search filter and display options

You can use a search filter, filters and display options in the various sections to filter data quickly and easily.

Each section may contain different filters and display options depending on the information you are looking for.

Search filter

The search field is at the top right of the list. Under ‘Calendar’, it’s called ‘Search orders’. Type in a few letters and the list will narrow down straight away. You don’t need to press Enter.

What does the search look for?

It searches for more than just the order name. The search field looks at both the order details and the customer details at the same time. So you can also find an order if you only remember the customer’s name.

If you search for ‘banana’, you’ll get both the job ‘Barbecue enquiry’ from Banana Leaf Ventures (client) and a job actually called ‘Banana’.

Two things to bear in mind

❗️Search works within the selected time period. If the date button is set to “from today” and you’re searching for an assignment from last month, you won’t find it. In that case, first extend the time period; see the section on the date button below.

❗️The search ignores your filters. As soon as you start typing, you’ll search through everything within that period, including assignments that the tab you were on would normally hide. This is by design: you’re looking for something, and you don’t want a filter to hide it from you. Clear your search query and your filter will reappear as normal.


Filtering

You use search to find something. You use filtering to narrow down to a specific group: all cancelled orders, everything without a payment method, everything from a single order category.

Add a filter

  • Click on the little funnel icon above the list.

  • Add a new filter using the ‘+ Add filter’ button

  • You build rules there, and each rule consists of three parts: field, condition and value.

    Status · is one of · Quote, Draft this keeps all orders that haven’t yet been confirmed.

  • Use ‘+ Add filter’ to add a second rule below it. Rules work together: only items that meet all the rules remain. The more rules you add, the shorter the list becomes.

What conditions will you get?

That depends on the field you choose, and this is by design:

  • Text = is, contains, starts with, is empty

  • Drop-down list (status, type, payment method) = is one of, is none of

  • Date = before, after, between, in the past, in the future

  • Amount or quantity = greater than, less than, between

  • Tags = has one of, has all of, has none of

As long as a filter is applied, you’ll see a number next to the funnel. This tells you that the list is shorter than it appears. Click ‘Clear Filter’ to remove everything in one go.

Empty list? If you’re not getting any results, first check the number next to the funnel and the date button. Almost always, a filter is still applied or the date range is too narrow. Below an empty list, there’s also a ‘Show all’ button that takes you back in a single click.


Date filter

In the Calendar, there’s a button above the list showing the time period, for example, ‘Execution date · 13-08-2026 –’.

This button is not part of the filter and is not saved in a view. It determines the period you’re viewing. Everything you do afterwards – searching, filtering – takes place within that period.

In the panel, you first select the start date and then the end date.

If you only select a start date, that is also a valid period. Everything from that day onwards, with no end date. The list is updated immediately.

At the bottom, there are shortcuts such as ‘all future orders’, ‘today’s orders’ and ‘this week’s orders’.

With ‘Which date field do you want to search by?’, you can specify what the period refers to: the execution date, the creation date or the delivery date. This makes a real difference — a job created last month might be executed next year.


Display options

Each list can display more columns than are shown by default. In the Calendar, there are dozens. You choose which ones to display and in what order.

  • Click this button to display the view options

Columns displayed

At the top is ‘Columns displayed’: exactly the columns currently shown in the table, in the same order.

Use the arrows to move a column to the left or right; use the cross to remove it.

Available columns

Below that is ‘Available columns’: everything you can still add, in alphabetical order. Tick a box and the column will immediately appear at the bottom of the table; you can then use the arrows to move it into position. If the list is long, use the search box above it.

Grouping

With ‘Group by’, you can split the list into blocks, for example by customer or by status. Each block gets a header row with a count, and you can collapse blocks. To return to a single long list, select ‘No grouping’.

At the bottom of the pop-up is ‘Reset columns’. This takes you back to the default columns for that list – handy if you’ve gone a bit overboard ;) Nothing is lost; your saved views will remain as they are.


Saving views and filters

If you have a filter and a column layout that you need frequently, you can save them as a view. A saved view appears as a tab above the list, next to ‘All’. One click and you’re back there.

What’s included in a view

  • The filter rules that are active

  • Which columns you see and in what order

  • The grouping

The time period is deliberately not included, as the view can also apply to other time periods.

Save

  • Set your filter and columns correctly, then click on the bookmark icon above the list.

  • Give the view a name that reflects its purpose – “Deliveries this
    week” is more useful than “Filter 2”.

  • If you make changes later, you can choose between ‘Save’ (to update the existing view) and ‘Save as new view’. Use ‘Rename’ to change a view’s name.

Just for you, or for everyone

By default, a view is for your eyes only. If you enable ‘Share with everyone’, all your colleagues will also see the tab. This is intended for layouts used by the whole company.

Only an Owner/Manager can share and edit shared views. This ensures that changes are never made unnoticed for the whole team.


Default views

Each list already contains a few pre-defined shared views, such as ‘To be confirmed’ and ‘To be invoiced’ in the Calendar. These are the same for everyone and work exactly like a view you create yourself.
