Would you like shopping lists, preparation lists or packing slips to be generated automatically
and the links sent to your team on time? You can do this with
the automatic list creation feature in the workflows!
Where can you find the automated workflows?
You’ll find this feature in the calendar under ‘Tools’.
How do you set up automatic list generation?
Go to the calendar.
Click on “Tools” in the top right-hand corner.
Click on “Workflow automation”.
Click on “+ New rule”.
You’ll now be taken to the screen where you can set the workflow criteria. First, give the rule a clear name (e.g. “Kitchen preparation list”).
Under ‘Action’, select the option ‘Generate list’.
Select the type of list you want to generate (e.g. Preparation list, Shopping list, Packing slip, Labels, Order lines or Route list).
Depending on the type of list, you can configure specific formatting settings (e.g. filter by suppliers, break down dietary requirements or group data on a single tab).
Select the staff members who should receive the link to the generated list by email.
Decide when the list should be generated and sent. You have two options here:
Relative to the order: Generate the list a certain number of days before or after the event.
On a fixed day of the week: Choose a specific day (e.g. Monday) on which the list should be generated for all orders within a certain period (e.g. for orders taking place in the next 0 to 5 days).
Under ‘Criteria’, specify the conditions the order must meet.
Then save the changes.
A workflow example for lists
Scenario: I want a link to a preparation list to be automatically
a link to a preparation list to be sent automatically to the head chef. I set this up
as follows:
I set the name of the workflow to “Kitchen preparation list – 3 days in advance”.
I select “Generate list” as the action and “Preparation list” as the list.
Under ‘Staff to be notified’, I tick the box next to the colleague in charge.
I select the time option ‘Relative to the order’ and set this list to be sent 3 days before the event.
Under ‘Criteria’, I set the order status to ‘Confirmed’ and specify that the order type is ‘Event’.
Good to know
The selected individuals will automatically receive an email containing a link giving them direct access to the generated list.
If you no longer wish to have automatic list generation active, you can disable it at any time in the workflow overview using the slider.
