Create an invoice: for a new or an existing order

Create an invoice in three steps for a new or an existing order

Introduction

The invoice wizard builds an invoice in three steps: you choose the customer, add what the customer gets and pick the type of invoice. You can make a standalone invoice for a new order, or invoice an existing order in one go, as a deposit or as the remainder.

Good to know: an invoice always needs a customer. The wizard creates a concept and sends nothing. You can still adjust the invoice in the editor before you save and send it.

Step 1: Open the wizard and choose the customer

  1. Go to Invoices and click New invoice.

  2. Search for the customer under Customer, or choose New customer if they do not exist yet.

  3. Adjust the Event name and the Date if needed. If you have several brands, you also choose the Brand.

  4. Want to fill in more of the order, such as end date, type or number of persons? Click More options.

  5. Click Next.

You can also open the wizard from an order: the invoice tile in the agenda and the order card start it directly on that order.

Step 2: Add what the customer gets

Under Products, search for your products, set the quantities and add a discount if you need one. Show prices incl. VAT switches between prices with and without VAT. You can still change everything in the order afterwards. At the bottom you see the subtotal, the VAT specification and the total.

Click Next.

Step 3: Choose the type of invoice

Under Invoice type you choose which kind of invoice to start with:

  • Full invoice: the whole amount of the order.

  • Deposit invoice, a percentage of the order: you enter a percentage and see the matching amount straight away.

  • Deposit invoice, a fixed amount: you enter the amount yourself.

Click Create invoice. The concept invoice opens in the editor. Check it, adjust it and save it. Then you send it. You can read more about deposits in Create advance invoice & remaining invoice.

Invoice an existing order

Already have the order? In step 1, click Invoice an existing order instead.

  1. Find the order with Search orders: by name, reference or customer. The results show the order number before the name, for example #2251 · Lunch.

  2. Click the order, then Next.

  3. Under Invoice type, choose what you want to invoice and click Create invoice.

For an existing order you see the amounts at the top: Order total, Invoiced so far, Not sent yet (the concept invoices) and Left to invoice. Once a deposit invoice has been sent, Remaining invoice, what is left after the deposits is offered too: it deducts the sent deposits. Concept invoices do not count as invoiced; only sent invoices are deducted.

Want to invoice a new order instead of an existing one? Choose Invoice a new order instead.

Frequently asked questions

Is the invoice sent to the customer straight away?
No. The wizard creates a concept. You send it when you decide to, by email or Peppol. The invoice number is assigned when it is sent.

Can I still change the invoice?
Yes. After Create invoice the editor opens, and you can still change the lines, the text and the dates before you save.

My order has no customer. Now what?
Then it cannot be invoiced. You see the message This order has no customer. Add a customer to the order and start the wizard again.

The order already has a concept invoice.
You see the message This order already has an unsent concept invoice with the button Open it. That takes you to it, so you do not create a second one.

A remaining invoice has already been sent.
The wizard tells you This order already has a sent remaining invoice, and you cannot create a second remaining invoice.

What happens if I close the wizard?
Nothing is created until you click Create invoice. If you close the wizard earlier, the order’s invoices stay as they were.
