One of the first steps in your Catermonkey account is to set up and create one or more quotation templates. Based on the information contained in an order or request, the quotation is automatically filled in when it is created. No more cutting and pasting!
How do you create a quotation template?
You can use one of our existing templates, or let your creativity run wild and create a completely new template.
Whichever you choose, the creation and editing process is largely the same.
Inserting variables
Using variables in a quotation template saves you copying and pasting and a lot of time! Everything you enter in an order is automatically included in the quotation thanks to the use of variables.
Below is a brief explanation of the quotation variables:
Quote variables
The menu variables are divided into a number of options: the entire menu, food only, and non-food only. If you want to list the menu and materials separately on the quotation, the latter are very useful. If you also want to include the price, select the variable with - price after it.
You can use the quotation variable - link in the quotation email template. This allows the customer to confirm the quotation online.
Branding variables
Your company details entered in Catermonkey. You can use this to indicate your contact details.
Customer variables
Customer details entered in the order.
Order variables
This is all the information you can find within an order.
Important to note:
Order - date = the date of the event/delivery/collection, with start time.
Order - date without time = the date of the event/delivery/collection, without time.
Order - today = today's date, without time.
Invoicing variables
Relate to sending the invoice. These are not used in a quotation template.
Location variables
Details of the location. These variables are most commonly used for an event at (your own) location.
User variables
Your own details as a user. If you use your user first name in the template, your own first name will appear in the quotation when you send it.
Location/customer combination variables
Can be used in the same way as customer variables. For example, if you use the location or customer - address, the system will first look at the address of the location entered in the order. If you have not entered a location here, the customer's address will automatically be used.
Product section variables
{product-section.example title} & {product-section-bulletpoints.example title} variable
These variables give you ultimate flexibility in organising your quotations!
Example:
Want to create a page listing all products under the heading “Decorations”? Use Decorations as the title in the product field and the following variable:
{product-section.decorations}
